POS Integrations: Connecting Xero, Payments and More

Finding the Integrations page

Go to POS > Operations > Retail > Integrations. This page lists all available connections for your POS: accounting platforms (Xero, QuickBooks), payment terminals (card machine integration), e-commerce platforms (to sync online and offline inventory), and delivery platforms. Each integration shows its status — connected (green), disconnected (grey), or pending setup (amber). For most businesses, the most valuable integrations to set up first are accounting (Xero or QuickBooks) and payment terminals.

Connecting to Xero

Click the Xero tile and follow the OAuth authorisation flow — you'll be redirected to Xero's login screen to authorise AskBiz access. Once connected, select how often to sync: real-time (every transaction creates a Xero entry immediately) or daily batch (all transactions from the day sync as a single journal entry at midnight). For most small businesses, daily batch is sufficient and creates a cleaner Xero history. Your chart of accounts mapping — which AskBiz sales categories map to which Xero accounts — is set during the initial setup.

Connecting payment terminals

For card payment integration, click your terminal provider's tile. AskBiz supports major terminal providers — the specific list depends on your region. Once connected, your card terminal and AskBiz communicate directly: when a cashier completes a sale in AskBiz and selects card payment, the amount is automatically sent to the terminal. The customer taps or inserts their card, and the approved payment is confirmed back to AskBiz in seconds. No more reading the terminal amount and typing it into the POS manually.

Managing active integrations

Each active integration shows a Connected status and a Last sync timestamp. If a sync fails (for example, Xero connectivity issues), the integration shows an error with a Retry button. Click any connected integration to see its detailed settings — you can pause the sync, change the sync frequency, update account mappings, or disconnect entirely. Disconnecting an integration doesn't delete historical data; it just stops future syncing. Reconnecting restores the sync from the point of disconnection.
