Creating and Dispatching a Delivery Order

Step-by-step guide to creating a delivery order in AskBiz POS — entering customer and address details, adding items, setting the delivery fee, and dispatching to a driver.

Key Takeaways

  • A delivery order is created at the till or from the Logistics tab and includes the customer address, items, delivery fee, and assigned driver.
  • Orders can be dispatched immediately (driver takes it now) or scheduled for a future time slot.
  • The customer receives a notification when the order is dispatched and again when it's delivered.

Starting a delivery order

There are two ways to create a delivery order. From the till: open the till as normal, add items to the basket, then before completing payment select Delivery as the fulfilment method instead of Over Counter. From the Logistics tab: click New Delivery Order and build the order from scratch. The till method is more common for walk-in customers who pay for goods and want them delivered. The Logistics tab method is used for phone orders, pre-paid online orders, or B2B deliveries where the goods come from stock.

Entering the customer and delivery address

Search for an existing customer by name, phone, or email. If found, their saved delivery address pre-fills automatically. For a new customer, enter their Name, Phone Number, and Delivery Address. The address entry has a postcode lookup — type the postcode and select the street from the dropdown, then enter the house number. Add any delivery notes (e.g. 'Leave at door if no answer', 'Ring the bell twice', 'Call customer on arrival'). These notes appear on the driver's delivery screen.

Adding items to the delivery

If starting from the Logistics tab, add items by searching the product catalogue exactly as you would at the till. Scan barcodes or type product names. Set quantities. The system checks stock availability — if an item is out of stock, you're warned before confirming. The total value of goods is calculated. For till-originated deliveries, the items are already in the basket from the original sale — you're just changing the fulfilment method.

Setting the delivery fee and payment

Enter the Delivery Fee — the amount you're charging the customer for the delivery service. This can be a flat rate, based on distance (calculated automatically if you've set up distance-based pricing), or free (enter 0). Payment is collected at this stage: the customer can pay in full now (card or cash at the counter) or the order can be marked as Cash on Delivery (COD) — the driver collects payment when the goods are handed over. Select the payment method and process payment if collected now.

Assigning and dispatching

After payment, assign a driver. The Available Drivers list shows who's currently active and their existing parcel load. Select a driver and click Dispatch. The driver immediately receives a notification on their AskBiz driver app with the delivery address, items list, customer contact, and any notes. The order status changes from Pending to In Transit. From this point, you can track the driver's progress from the Logistics dashboard. If no drivers are available immediately, save the order as Pending and assign later.
