Using the POS Audit Log to Track Every Change
How the Audit Log in AskBiz POS records every transaction, stock change, staff action, and system event — and how to use it to investigate discrepancies.
Key Takeaways
- The Audit Log records every event in your POS — transactions, inventory changes, staff logins, deliveries, and more.
- Filter by Transactions, Jobs, Captures, Inventory, Staff, or Deliveries to narrow down what you're looking for.
- Search by actor (staff member name) or event type to pinpoint a specific incident.
Where to find the Audit Log
Go to POS and click the Audit sub-tab. The Audit Log shows a complete, tamper-proof record of everything that has happened in your POS — from the moment you first set it up. At the top, filter by event category: All (everything), Transactions (sales, refunds, voids), Jobs (scheduled tasks), Captures (payment captures), Inventory (stock changes, price edits), Staff (logins, PIN resets, deactivations), or Deliveries (logistics events). Set a time filter — All time, Today, or a custom date.
Investigating a discrepancy
If your end-of-day cash doesn't match what AskBiz shows, start with the Transactions filter. Set the date to today and look for any transactions that seem unexpected — refunds processed without a clear reason, unusually high discount amounts, or transactions voided after the till was closed. Click any event row to expand it and see the full detail: who did it, at what time, on which device, and what changed. For stock discrepancies, switch to the Inventory filter and look for stock adjustments — manual quantity changes that bypassed the proper restock process.

Start for free →Searching for a specific actor or event
Use the search bar at the top of the Audit Log to search by staff member name (actor) or event description. For example, type 'annet' to see every action annet has taken — every sale she processed, every stock adjustment, every login. This is the most powerful tool for investigating a specific staff member's activity if something doesn't add up. The search is case-insensitive and matches partial names.
Using the Audit Log for compliance
The Audit Log is your evidence trail for tax purposes, insurance claims, and regulatory compliance. It cannot be edited or deleted by anyone — not even the account owner. For VAT inspections, combine the Audit Log with the MTD VAT report to provide a complete picture of your transaction history. For insurance claims involving stock theft, the Inventory filter in the Audit Log shows exactly when stock levels changed and who changed them, helping establish whether losses occurred and when.
