Which payment methods does AskBiz POS support?

AskBiz POS accepts three core payment methods at the till: cash, card (via a connected card reader), and M-Pesa mobile money. When a cashier completes a sale they choose the method — or split across two methods — and AskBiz records each payment type separately. Every transaction flows into your Sales report with the payment method tagged, so you can analyse whether your customers prefer cash or digital payments.

Connecting M-Pesa for mobile money payments

To enable M-Pesa, go to Operations > Integrations. You'll see M-Pesa listed with an 'Available' badge and a 'Connect →' button. Click it, follow the authorisation steps with your Safaricom business account credentials, and M-Pesa appears as a payment option at the till immediately. Once connected, cashiers see a 'M-Pesa' button at checkout. The customer enters their phone number or scans a QR code, and the payment confirmation appears on screen before the sale is finalised.

Accepting cash payments correctly

When a cashier selects Cash at the till, AskBiz shows a change calculator — enter the amount the customer hands over and the till shows the exact change to give. All cash sales are tallied in the session total so that end-of-day cash reconciliation is accurate. If your business uses an opening float, set this at the start of each shift so that the expected cash balance is correct when you close the till.

Syncing all payments to Xero or QuickBooks

The Integrations page also lists Xero and QuickBooks, both marked Available. Connecting either one means every sale — regardless of payment method — is automatically posted to your accounting software. Cash sales, M-Pesa receipts, and card transactions are logged as separate line items so your bookkeeper sees a clean breakdown. VAT is attached to each transaction automatically, which makes your MTD VAT report one click away from the top of any POS screen.

Viewing your payment method breakdown in reports

Go to Operations > Reports > Sales report to see a full breakdown of revenue by payment method over any date range. You can filter by branch and sector, and export to CSV for your accountant. The 'Total discounts given' figure at the top of the Promotions section helps you understand if certain payment methods are more often associated with discounted sales — useful intelligence when setting promotional pricing.

What to do if a payment fails

If an M-Pesa payment times out, the till stays open and you can retry or switch to a different payment method without losing the basket. For card failures, check the reader connection and try again — the sale is never recorded until payment is confirmed. Cash payments only fail if the cashier closes the sale before tendering, which can be undone within the same session. All payment attempts are visible in the Audit trail under Operations > Reports.
