How to Search Your Expenses in AskBiz

Learn how to use the search bar in the AskBiz Expenses tab to quickly find specific expenses by vendor name or notes text.

Key Takeaways

  • The search bar matches against vendor name and notes text — type a partial name to find all matching entries.
  • Search results update in real time as you type each character.
  • Clear the search bar by tapping the X icon to return to the full unfiltered expense list.

Finding the Search Bar

Open the Expenses tab from the CFO dashboard. The search bar is located in the filter toolbar, which sits directly below the Category Breakdown bar at the top of the tab. It is a white or light-grey input field with a magnifying glass icon on the left and the placeholder text Search expenses. The search bar is always visible — you do not need to scroll to find it.

How to Perform a Search

Tap the search bar once to bring up your device keyboard. Type any part of a vendor name or any word from the notes field. For example, type 'Google' to find all expenses where the vendor contains the word Google. Type 'client' to find any expense where the notes field includes the word client. The search is case-insensitive, so typing 'google' and 'Google' return the same results. The expenses list updates after each character you type — there is no need to press Enter or tap a search button.

What the Search Matches Against

The search function checks two fields: Vendor Name and Notes. It does not search by amount, date, or category. If you are looking for expenses in a particular category, use the category chip filters instead of the search bar. If you want to find expenses within a date range, use the date range inputs. You can combine the search bar with category chips and date range filters simultaneously — for example, search for 'Smith' while the Professional Services chip is active and the date range is set to Q1, which would show all professional services expenses from vendors or notes containing Smith in Q1.

Clearing the Search

To clear the search and return to the full list, tap the small X icon that appears at the right end of the search bar whenever text is present. Alternatively, tap the search bar to put the cursor in it, then select all the text and delete it. The expenses list immediately reverts to showing all entries that match any other active filters (category chips or date range) without the text search constraint.
