Managing Your POS Inventory on AskBiz

A complete walkthrough of Operations > Inventory — adding products, setting prices and costs, managing stock levels, and keeping your product catalogue accurate.

Key Takeaways

  • Access Inventory from POS > Operations > Retail (or your sector) > Inventory — your full product catalogue lives here.
  • Each product has a selling price, cost price, current stock level, minimum threshold, and optional barcode/SKU.
  • You can add products manually or import a CSV to bulk-upload your catalogue.

Getting to Inventory

Click POS in the top nav, then the Operations sub-tab. Select your business sector — Retail, Restaurant, Salon, etc. — and click Inventory. You'll see all your products listed with current stock levels. The badge on the Inventory card shows the total product count (e.g. '40'). Use the search bar to find a specific product quickly, or scroll through the full list.

Adding a new product

Click '+ Add product'. Fill in the product name, selling price (what customers pay), cost price (what you paid the supplier), and the current stock quantity. Add a category, SKU code, and barcode if you have them — barcodes let cashiers scan products at the till instead of searching manually. Set a minimum stock level so AskBiz knows when to alert you. Hit Save. The product is now available in the till and included in all inventory reports.

Editing products and updating stock

Click any product to open its detail view. From here you can update the price (both selling and cost), edit the description, adjust the stock quantity, change the minimum threshold, or deactivate the product. To receive new stock, use the 'Add stock' option rather than manually editing the quantity — this creates a proper stock receipt record that feeds into your audit trail and purchase history, making end-of-year stock reconciliation much easier.

Bulk importing your product catalogue

If you're setting up AskBiz for the first time and have your products in a spreadsheet, use the CSV import. Download the template from the Inventory page, fill in your product names, prices, costs, quantities, and minimum thresholds, then upload the file. AskBiz will process the import and display any errors — usually missing required fields or incorrectly formatted prices. Fix the errors and re-upload until the import completes cleanly.

Filtering and organising your catalogue

Use the category filter to view just one product category — useful for doing a stock count of a specific section. The stock status filter lets you view only out-of-stock, low-stock, or in-stock products. If you operate multiple branches, the Branch dropdown filters the inventory to show stock levels for one location. Products with zero stock can be hidden from the till by deactivating them — they remain in your records but cashiers won't see them.
