Batch Numbers and Expiry Date Tracking
Track product batches, monitor expiry dates, and get alerts before stock expires.
Enabling batch tracking#
Go to POS > Inventory > Settings and enable Batch Tracking. Once enabled, when you receive stock โ either from a purchase order or manual stock entry โ the system prompts for a batch number and expiry date. Batch numbers are typically printed on the product packaging. Expiry dates are mandatory for perishable goods and optional for non-perishable items.
FIFO management#
AskBiz applies First In First Out (FIFO) logic automatically. When a product sells, the system deducts from the oldest batch first. This ensures you sell stock with the nearest expiry date before newer stock. The inventory view shows each batch separately with its remaining quantity and days until expiry.
Expiry alerts#
Configure expiry alert thresholds in Inventory > Settings > Expiry Alerts. Set how many days before expiry you want to be notified โ for example 30 days for long-shelf items and 7 days for fresh goods. Alerts appear in your Daily Brief and on the Inventory Dashboard. Items within the alert window show an amber or red indicator.
Expired stock handling#
When stock reaches its expiry date, the system marks it as expired and optionally removes it from the sellable inventory. You can configure whether expired items block at the POS โ preventing cashiers from selling them โ or just show a warning. Expired stock value appears in the waste report so you can track the financial impact.
