How Team Seat Billing Works
Understand how AskBiz bills for multiple team members, what counts as a seat, and how to manage seats to control costs.
How seats are counted
A seat in AskBiz is counted per active user — any team member who has accepted an invitation and has an active account.
What counts as a seat:
- Any invited user who has accepted their invitation, regardless of how often they log in
- Admin, Finance Manager, and Team Member roles all count equally as seats
What does not count as a seat:
- Pending invitations (users who have been invited but not yet accepted)
- Viewers with a shared dashboard link (read-only link access does not require a seat)
- Your own account (the account owner's seat is included in all plans)
View your current seat count in Settings → Team → Seats Used.
Seat limits by plan
Seat limits vary by plan:
- Free plan: 1 user (account owner only)
- Growth plan: up to 3 users included
- Business plan: up to 10 users included
- Additional seats: available on all paid plans at £5/seat/month (or £48/seat/year on annual billing)
If you try to invite more users than your plan allows, AskBiz will prompt you to either upgrade your plan or purchase an additional seat before the invitation is sent.
Adding and removing seats
Adding a seat:
When you invite a new team member and you are at your seat limit, AskBiz will add one seat to your subscription automatically. The prorated cost for the seat (from today to your next billing date) is charged immediately.
Removing a seat:
When you remove a team member from your account, the seat is released. However, seat billing does not automatically decrease — seats are billed for the full billing period in which they are used. The seat count will decrease at your next billing renewal.
To remove a team member: go to Settings → Team → [member name] → Remove. Confirm the removal — the user immediately loses access to AskBiz.
Seat costs on annual plans
On annual plans, additional seats are billed at £48/seat/year (equivalent to £4/month — a saving vs the monthly £5/seat rate).
When you add a seat mid-year on an annual plan, you are charged a prorated amount for the remaining months of your annual term. For example, adding a seat with 6 months remaining in your annual term costs £24 (6/12 × £48).
At annual renewal, all seats (base + additional) are billed for the full year upfront. If you want to reduce your seat count at renewal, remove team members before your renewal date — AskBiz counts the seats in use on the renewal date to determine the annual charge.
