Historical Data Is Missing

Why historical data may not appear in AskBiz and how to get it imported — covering import limits, pre-connection gaps, mid-period gaps, and date range display issues.

First check: is your date range set correctly?#

Before investigating a data issue, confirm your date range is not filtering out the data you expect to see. This is the most common cause of 'missing' historical data.

Check: Look at the date range selector at the top of your dashboard. If it is set to Last 30 Days, Last 90 Days, or This Year, data outside that window will not appear in charts.

Fix: Click the date range selector, choose Custom, and enter your full historical range (e.g. 01 Jan 2022 to today). If the data appears, there is no import problem — you were simply looking at a filtered view.

Also check individual chart settings. Some charts have their own date range controls that override the global dashboard selector. Click the icon on the chart to review its settings.

Default historical import limits by platform#

When you first connect a data source, AskBiz automatically imports a fixed window of historical data. The default limits are:

Data older than the default window is not imported automatically. If you have been trading for 5+ years and want to see long-term trends, contact support@askbiz.co to request an extended historical import.

Extended imports are available on the Business plan and above. Depending on your transaction volume, they typically complete within 24–72 hours.

Data from before you joined the platform#

AskBiz imports data via your connected platform's API. If transactions occurred before you started using that platform — for example, you used a different accounting system before switching to Xero — those pre-migration transactions will not be available via the API and AskBiz cannot import them automatically.

Fix: Upload historical data via CSV

1. Export your historical data from your old system (most platforms have a CSV or Excel export for transaction history)

2. Format it according to AskBiz's CSV template (download from Settings → Integrations → Upload CSV → Download Template)

3. Upload the file — AskBiz will merge it with your API-imported data

For large pre-migration datasets (tens of thousands of rows), contact support before uploading — we can advise on the best import approach to avoid duplicating transactions.

Gaps in the middle of your data#

If you have data up to a point, then a gap, then data again, it usually means your integration was disconnected or erroring during the gap period. Common causes:

  • OAuth token expired — the connection was revoked and not renewed (most often happens with Shopify or Amazon when you change your platform password or 2FA settings)
  • API rate limiting — during a period of very high sales volume, your platform's API throttled requests and some data was missed
  • Billing lapse — if your AskBiz subscription lapsed, syncing paused

How to fill the gap:

1. Confirm the missing data exists in your connected platform (check the platform directly for that date range)

2. If it exists, contact support via the chat icon and specify: the platform, the exact date range of the gap, and your account email

3. We will trigger a targeted re-import for that specific date range — you do not need to re-connect the integration

Re-imports typically complete within a few hours for gaps under 3 months.

I just connected — how long does the initial import take?#

After connecting a new data source, the initial historical import runs in the background. Depending on your transaction volume and the platform's API limits, this can take anywhere from a few minutes to several hours.

What you will see:

  • A progress indicator in Settings → Integrations showing the import status
  • Charts will start populating with recent data first (last 30 days), then progressively older data
  • A notification or email when the full import is complete

If the import appears stuck (no progress for more than 4 hours), contact support — we can check whether the import job needs to be restarted.

Requesting an extended historical import#

If you need data older than the default import window, follow these steps:

1. Email support@askbiz.co with the subject line: *Extended historical import request*

2. Include: your account email, the platform you want extended history for, and the date range you need (e.g. January 2018 to present)

3. Our team will confirm feasibility and estimated completion time

4. Extended imports are available on the Business plan and above — if you are on Starter or Growth, you may need to upgrade first

Note: Extended imports depend on what your connected platform's API makes available. Some platforms only retain 3–5 years of data in their API regardless of your subscription level with them.
