UK Receipt Requirements: What Must Appear on a POS Receipt

Standard receipt requirements#

While UK law does not technically require retailers to issue a receipt for every transaction, it is considered best practice and many customers expect one. Consumer Rights Act 2015 gives customers the right to proof of purchase for returns and warranty claims.

A good receipt should include:

  • Your business name and address
  • Date and time of the transaction
  • Itemised list of goods or services purchased
  • Price of each item and the total amount paid
  • Payment method (cash, card, etc.)
  • A unique transaction reference number

VAT receipt obligations#

If you are VAT-registered, different rules apply depending on the transaction value:

  • Under £250 — a simplified VAT receipt is sufficient. It must show your name, VAT number, date, description of goods, total including VAT, and the VAT rate applied
  • £250 and over — a full VAT invoice is required. This must additionally include the customer's name and address, a unique invoice number, your address, the net amount, VAT amount, and gross amount separately

Digital receipts and legal validity#

Digital receipts (including WhatsApp receipts from AskBiz POS) are legally valid in the UK. HMRC accepts digital records and receipts as proof of transaction for both you and your customers. There is no legal requirement for a paper receipt.

Digital receipts are actually preferable for compliance because they cannot be altered after issue, they are timestamped automatically, and they create a searchable archive. AskBiz POS stores every receipt permanently, so if a customer loses theirs, you can resend it from the transaction history at any time.
