Troubleshooting: Login and Magic Link Issues

Fix common POS login problems — magic link not arriving, link expired, staff PIN not working, and session timeout issues.

Magic link not arriving#

AskBiz POS staff members log in via magic link emails. If the email is not arriving:

1. Check spam/junk — magic links from AskBiz sometimes land in spam folders, especially on first use

2. Verify the email address — ask the account owner to check the address in Settings → POS → Staff. A single typo will send the link to the wrong inbox

3. Wait 2 minutes — email delivery can take up to 2 minutes during busy periods

4. Resend — the staff member can tap Resend Link on the login page. Only the most recent link is valid

5. Check email filters — corporate email systems sometimes block automated emails. Whitelist noreply@askbiz.co to prevent this

Magic link expired#

Magic links expire after 15 minutes for security reasons. If a staff member clicks an expired link, they will see an error message with a Request New Link button.

Common causes of expiry:

  • The email sat in the inbox too long before being opened
  • The link was opened on a different device from the one that requested it (magic links are device-bound)
  • The account owner sent a new invitation, which invalidated the previous link

The fix is always the same: go to the POS login page and request a fresh link.

Staff PIN not working#

If a staff member's 4-digit PIN is rejected:

  • Check caps lock is off — PINs are numeric, but some on-screen keyboards behave unexpectedly with caps lock
  • Verify the PIN — the account owner can view and reset PINs in Settings → POS → Staff → [name] → Reset PIN
  • Account deactivated — if the staff member has been paused or deactivated, their PIN stops working. Check their status in staff settings
  • Wrong location — if you have multiple POS locations, PINs are location-specific. Make sure the staff member is logging into the correct location

Session timeout and re-authentication#

POS sessions stay active for 12 hours by default. After that, the staff member is logged out and must re-authenticate with their magic link or PIN. This timeout protects against unattended devices being used by unauthorised people.

You can adjust the timeout period in Settings → POS → Security → Session Timeout. For high-security environments, reduce it to 1–4 hours. For convenience in trusted environments (e.g. your own shop with no public access), you can extend it to 24 hours.
