Adding and Managing POS Staff Members

Invite staff to your AskBiz POS, assign roles, set permissions, and track who processes each sale — all without sharing your main account login.

Why add staff members?#

Adding individual staff accounts means every transaction is tagged with the person who processed it. This unlocks staff performance reporting, shift-level revenue breakdowns, and accountability if a transaction needs to be investigated later.

Staff members log in with their own magic link — they never see your main AskBiz dashboard, billing details, or connected data sources. They only see the POS sale screen and, optionally, basic stats for their own shift.

Inviting a new staff member#

Go to Settings → POS → Staff and tap Invite Staff. Enter the person's name and email address. They will receive a magic link email that logs them straight into the POS screen on their device.

You can also generate a PIN-only login for environments where staff share a single tablet. Each person gets a unique 4-digit PIN — they tap it at the start of their shift and all sales are attributed to them until they tap out.

Roles and permissions#

AskBiz POS has three staff roles:

  • Cashier — can process sales, apply discounts up to a configured limit, and view their own shift stats
  • Supervisor — everything a Cashier can do, plus process refunds, void transactions, and view daily store stats
  • Manager — everything a Supervisor can do, plus add or remove products, adjust inventory, and export data

Only the account owner (you) can invite or remove staff, change roles, or access the full AskBiz analytics suite.

Removing or deactivating staff#

To remove a staff member, go to Settings → POS → Staff, find their name, and tap Deactivate. Their magic link and PIN stop working immediately, but their historical sales data remains in your reports for audit purposes.

If someone is on leave or temporarily unavailable, use Pause instead of Deactivate — this preserves their account so they can resume without a new invitation when they return.
