Using the POS Audit Trail
Learn what the AskBiz POS audit log records, how to access it in the admin panel, filter by staff, event type, or date, and how to use it for dispute resolution and compliance.
What the audit trail records#
The AskBiz POS audit trail is a permanent, tamper-proof log of every action taken in your POS system. It records:
- Transactions โ every sale, with the staff member, items, payment method, and timestamp
- Refunds โ who processed the refund, the original transaction reference, and the reason if entered
- Amendments โ any change to a transaction after it was processed, including who made the change
- Void events โ transactions cancelled before completion
- Staff actions โ login and logout events, role changes, and permission updates
- Factory captures โ every submission, approval, and rejection with the associated photo and staff IDs
Audit entries cannot be edited or deleted. The trail is immutable from the moment an action is recorded.
Accessing the audit trail#
Go to your AskBiz admin panel at askbiz.co/pos and click the Audit tab in the left navigation.
The audit trail loads the most recent 100 entries by default. Each entry shows:
- Event type and a plain-English description
- The staff member who performed the action (name and PIN)
- Timestamp (date and time)
- For factory captures: the attached photo and approval chain
You can expand any entry to see full details. For transaction events, you can also navigate directly to the original transaction record.
Filtering and using the audit trail for disputes#
Use the filter controls at the top of the Audit tab to narrow down records:
- By event type โ filter to see only refunds, amendments, captures, or any specific event category
- By staff member โ enter a name or PIN to see all actions by that person
- By date range โ set start and end dates to scope the view to a specific period
- By status โ for factory captures, filter by approved, pending, or rejected
For dispute resolution: if a customer disputes a transaction, filter by the transaction date and the staff member who served them. The audit entry shows the exact items, price, payment method, and any subsequent amendments.
For compliance: the full audit trail can be exported as a CSV from the Export button on the Audit tab. This export is suitable for HMRC enquiries, accountant review, or insurance purposes.
